A data set represents a portion of the data to be brought into InterAction from the external system. The data set defines rules for how that type of information in the external system is brought into InterAction.
Creating a data set creates a corresponding table in the InterAction database. As part of the data harvesting process, you populate each data set table with data extracted from the source system.
For example, creating a company data set creates a table called INT_DTS_COMPANY$1 with three columns:
SYS_ID
COMPANY_NM
COMPANY_KNOWN_AS
For a reference to all the data set tables, see the reference material on the tables starting with Company Data Set Table.
You harvest your data from the external system into this table, for example:
INT_DIS_COMPANY$1
| SYS_ID | COMPANY_NM | COMPANY_KNOWN_AS |
|---|---|---|
| 1000 | TeleNorth Financial Services | TeleNorth |
| 1500 | Guru, Limited | Guru, Limited |
| 2000 | Justus Software | Justus Software, Inc. |
For Company and Person data sets, if you choose not to claim the contact, there is no SYS_ID set. See To Claim or Not to Claim for more information.
For most data sets, the name of the table and the specific columns available depend on the various options you select for the data set. You can configure several different options for each data set:
-
How Application Collaboration finds the contacts to update
-
The name of the data set
This is typically used as part of the data set table name.
See Naming Data Sets.
-
Whether InterAction users should be allowed to edit the data brought in by Application Collaboration.
- Other data set-specific options
Available Data Sets
The following table lists the data sets available in Application Collaboration. You can create multiple versions of a data set in a data source, unless otherwise noted.
Data Sets in Application Collaboration
| Data Sets | Toolbar | Description |
|---|---|---|
|
Company (1 per data source) |
Used to create companies and update company name information. See the following: |
|
|
Person (1 per data source) |
Used to create people and update person name information. See the following: |
|
| Address |
Used to update phones, addresses, and electronic addresses. Most of the configuration related to phones and addresses is done with address rules. See Overview of the Address Data Set and Address Rules. |
|
| Activity | Used to create activities on contacts. Note that Application Collaboration only creates new activities - it cannot update existing ones. See Overview of the Activity Data Set. | |
| Classification | Used to set classifications on contacts. See Overview of the Classification Data Set. | |
| Related Contact | Used to create and update relationships between existing contacts. See Overview of the Related Contact Data Set. | |
| Folder Link | Used to link existing contacts to existing folders. This data set also allows you to make decisions regarding sponsorship. Note that this data set does not remove contacts from the folders, or automatically set up the folders - you must perform those tasks manually. See Overview of the Folder Link Data Set. | |
| Note | Used to add free form notes to a contact. You can add either global or folder-specific notes. You can also choose whether the harvested notes text should overwrite existing notes text, or if it should be inserted at the beginning or appended to the end. | |
| Matter | Used to bring matter data into InterAction. | |
| Engagement | Used to bring engagement data into InterAction. | |
| Opportunity | Used to bring opportunity data into InterAction. | |
| Single-value additional field | Used to update additional field data for contacts. See Overview of the Additional Field Data Sets. | |
| Multiple-value additional field | <none> | Used to update multiple-value additional field data for contacts. See Overview of the Additional Field Data Sets. |
| Group Member (1 per data source) | Used to populate existing user groups with existing users. Note that this data set does not create the groups; it only populates them with users. See Overview of the Group Member Data Set. |
