An activity data set brings in activity or log information from the source system for the contacts. You can configure the methods used to find the contacts to update, set the visibility (regarding contacts or regarding a folder) for the activities, and set the activity type used.
Populating InterAction with relevant activities can add value for professionals. Activities show up on the My Alerts page, which is frequently the first page a user sees when opening the Web Client. Users are also sent alerts in InterAction for Microsoft® Outlook®.
When transforming an activity data set, Application Collaboration does the following for each row harvested from the external system:
- Finds the contact to which to add the activity. You can choose the method used to do this.
- Creates a new activity on the contact and assigns it the harvested date, summary, notes, and originator.
- Assigns the activity an activity type. You can choose the method used to assign the activity types when configuring the data set.
Activities brought in from an external system are not locked down in InterAction. Any user with appropriate access rights can edit the activity. You can use normal InterAction access rights on the folder to control edits to the data.
Also, activities are not owned by the external system—once an activity is added to InterAction, it cannot be updated through Application Collaboration.
Deciding Which Activities to Bring In
Make sure that the activities you choose to populate in InterAction are used. Do not bring over a large number of activities unless you have a specific purpose in mind.
Unlike additional fields and addresses, activities cannot be updated by the external system after they are added. They are not owned by the other system - they become just like native activities. Therefore, you should only use activities for items that do not change in the external system.
