The Advanced Import feature can be used to add values to additional fields, delete values from additional fields, or replace current values for an additional field for each contact. You can import an unlimited number of additional fields into InterAction. To add a new additional field group choose New from the Map Import Fields dialog box. Choose Additional Field and choose OK. InterAction displays the new field group dialog box. From here, you can do the following:
- Select the additional field into which you want to import the information. You can choose a global field or a folder-specific additional field. If you choose to import contact information into a folder-specific additional field, you must choose the folder to which the field is folder specific.
- If the additional field into which you are importing the contact information is a multiple value field, select whether the data file contains multiple values in the column you are mapping to the additional field and how the values are separated.
-
Select how InterAction should handle the update if the field in the import file is blank.
You can choose either of the following options:
- Keep the current field values for the InterAction contact.
- Delete the current field values for the InterAction contact.
-
Select how InterAction should handle the update if the InterAction contact already has a value in the field.
You can choose the following options:
- Keep the current field value for the InterAction Contact. This option is only available for single-value additional fields.
- Add the value from the import data file. This option is only available for multiple-value additional fields. If this option is chosen, the values from the import field are appended to any values that already exist for the contact. If you are adding the value to a multi-value field, InterAction does not duplicate a value already in the field for the contact.
- Replace the current value (or values if a multi-value field) for the InterAction contact with the values from the import data file.
To update an additional field using Advanced Import, you must perform the import for a user account that has access rights to edit the field. For more information, see Specifying a User Account for Performing Advanced Import.
The options you select for updating the additional field depend on the data source you are importing. If you know the data source has high-quality data, you may choose to replace the current values for the InterAction contacts, whereas you may choose to keep the current InterAction value if the data source’s quality is questionable.
Advanced import cannot be used to import or update values for additional fields using additional field extensions, including the Variable Field AFE.
Because additional fields are not managed by Data Change Management rules, the access rights for the user account on whose behalf you are importing the contact information are used to determine which updates are made. For each additional field included in the import file, the user should have the following access rights for the folder containing the additional field:
- Read
- Edit Additional Field
- Link Into
