To access the Advanced Import feature, you must have Data Quality permissions. When you are setting the advanced import options, you can choose which user account to import contacts on behalf of. You can choose either of the following options:
- Current User
- Specific User
The user account you choose to import contacts on behalf of determines the access rights and Data Change Management rules used when contacts are updated in InterAction during the import.
While you can import contacts using the current user account, it is recommended that you set up an active user account that is only used for importing contact information. Setting up a specific user account to use when performing the import lets you completely control exactly what access rights and Data Change Management rules are applied to the import. In addition, any updates that are made to contacts display that the change was made by the specified user account in all the following features:
- Audit trail
- Alerts
- Last edit information - shown in the Windows Client and the Review My Contact Updates page in the Web Client
This quickly indicates that the change was made during an advanced import. For example, consider the following:
Your marketing department has purchased a list of contacts that attended XYZ Seminar and wants to import this list into InterAction. You’re pretty sure that several of the contacts are already in InterAction and you’re also concerned that some of the contact information in the list may be outdated, so you want to manage any updates made to contact information already in InterAction.
To do this, you should set up a user account named XYZ Seminar that has strict Data Change Management rules applied to create tickets for any changes made to contact information.
[A] Specify the user account to use for determining Data Change Management rules and access rights when performing the advanced import. The name for this user account appears in the Audit Trail and alerts list for any changes made to the contact information. Because of this, define a descriptive name for the user account.
Create a User Account to Use for Advanced Import
- Create the user account. You should set the account name to the name of the data source from which you are bringing the information. For instructions on creating user accounts, see Overview of User Accounts.
-
In InterAction Administrator define a Data Change Management rule set for the user account.
Depending on the quality of the contact information in the import file, you may choose to assign a highly managed rule collection if the data is of poor quality. If the data is known to be good, you may choose an unmanaged rule collection.
- If you are linking contacts into folders, setting additional field values, or creating folder-specific addresses and phones, you may need to specify access rights for the user account to be able to perform these tasks.
- When defining advanced import instructions, specify this user account on the Edit Advanced Import Instruction Details dialog box as the user account to import data on behalf of.
How Can I Keep Track of When Advanced Import Has Updated a Contact?
When you are mapping fields in your import instructions, InterAction includes a <User Supplied Value> field in the list of import fields. When mapping import fields, you can map <User Supplied Value> to the Data Review additional field in InterAction. When you map this field, you can enter a value to put in the additional field. You should enter information indicating the source from which the information has been added and the current date. For example, you may specify 4 Dec, 2003 - XYZ Seminar. You can later perform a search to find all contacts in InterAction that have this value specified to find all contacts updated in the import.
