Firms utilizing IQ2.x can now use a setting in IQ to allow new contacts sourced from IQ to be reviewed and approved by end users (attorneys or professionals). This process now gives those end users the choice to add new contacts to their personal User List, the Firm List, both, or neither.
The data administrator/IQ administrator can add end users via an “opt-in” setting in the IQ User Management screen. For those active IQ users who have opted in, IQ will identify new contacts captured from their inbox and generate an email that links to a new webpage where they can act on the new contacts.
To set up the New Contact Review feature, the data administrator must configure settings in both the InterAction Administrator and IQ2.x.
Configuring New Contact Review in the Administrator
Open the InterAction Administrator. Click Data Change Management Configuration on the main menu. The Data Change Management Configuration dialog opens.
Click the New Contact Review button. The New Contact Review Configuration dialog opens. There are four buttons here to allow you to customize the Email subject, Email content (body), other settings, and the schedule for the email notification. All settings provide defaults.
Click Email Subject to open the Edit Message Subject dialog. This dialog specifies the subject line in the email sent to individuals.
Click Email Body to open the Edit Message Content dialog. This area allows the Administrator to customize the content in the email message to individuals. The dialog provides the content in standard HTML as well as a way to preview it in your default browser.
Click Other Settings to open the Notification Service Settings dialog. This dialog allows you to specify:
- Email address that the message comes from [Sent From]
- Email address to reply to [Reply To]
New Contact Review link between IQ and InterAction [Name, Path, and Port Number]
The name, path, and port number here refer to the InterAction Application Server.
- An option to switch from HTTP to HTTPS
Click Schedule to open the Process Schedule dialog. This dialog provides a way to set the time and frequency to send email out to individuals about new contacts to review. You can also set the period after which the new contact review will expire.
The expiration date is calculated from the Notification sent date. However, if a contact is on more than one person’s email list, the review expiration is based on the sent date for the last user.
- When all settings are complete, click Close to close the New Contact Review Configuration dialog.
