Creating and Editing Group Member Data Sets

You set the options for a group member data set in the New/Edit Group Member Data Set dialog box.

Specifies the method for finding the InterAction user to add to the group. There are four methods available in the list:

  • Data Source System ID
  • Additional Information
  • InterAction Contact (Listing ID)
  • Account Name

When members are removed from external groups

Remove the user from the InterAction group

Indicates whether Application Collaboration should remove users from a group if the user does not exist in the harvested data.

Selecting this option has a big effect on harvesting; you must harvest all group members every time instead of just changes. For details, see Removing Group Members Using Application Collaboration.

You can use the Preview button to review the group membership changes that take place before executing the data set.

Create a Group Member Data Set

  1. Select the data source for the data set from the console list.
  2. Click or choose Data Set > New > Group Member.

  3. Under Map User Based On, select the method you want to use to find the InterAction users to add to the group:

    To Do This
    Use a system ID provided by the data source Select Data Source System ID
    Use an additional field value, such as client number or employee code Select Additional Information, then select the field to use for mapping from the drop-down list
    Use the internal InterAction contact ID Select InterAction Contact (Listing ID)
    Use the InterAction user account name (such as EROBERTS) Select User Account

  4. If you want the data set to remove group members from the group, select the Remove the user from the InterAction group check box.

    Caution: Selecting to remove group members affects harvesting; you must harvest all group members every time instead of just the changes. When Application Collaboration transforms the data set, previously-added members that are missing from the harvested data are removed. For more details, see Removing Group Members Using Application Collaboration.

  5. Choose OK to close and save the data set.

Edit a User Group Data Set

  1. Select the data source in which the data set belongs from the console list.
  2. Right-click the group member data set () and choose Edit.

  3. Change the fields as needed.

  4. Choose OK.

Delete a User Group Data Set

Deleting an existing data set deletes the corresponding data set table.

  1. In the console list, right-click the group member data set () and choose Delete.
  2. When prompted, confirm the delete.
  3. Update any harvesting routines to remove any references to the corresponding table.
