A group member data set can be configured to remove members that no longer belong in a group. This is useful if you are trying to match the membership of InterAction groups with group membership in another system.
To identify which previously-added group members no longer apply to the groups, Application Collaboration compares the harvested data with the data already in InterAction. A user is removed from a group if the following conditions are met:
- The user does not have a corresponding row in the harvesting table.
AND
- The user was originally added to the group by Application Collaboration, using the same data set.
This means that you need to harvest all the group members every time you harvest data from the external system.
When identifying group members to remove, Application Collaboration uses the following rules:
- If the data set table is empty, transforming it does not change the groups. The table must contain at least one row for it to be considered a valid transformation.
- Application Collaboration does not remove users that were added to the group manually using InterAction Administrator.
Configure a Group Member Data Set to Remove Group Members
Changing this option deletes all data in the corresponding data set table. You need to re-run your harvesting routine to re-populate the table. Be sure to harvest a complete set of data.
- Select the data source in which the data set belongs from the console list.
- Right-click the group member data set (
) and choose Edit.
- Select the Remove the user from the InterAction group check box.
- Choose OK.
- Update your harvesting routine to harvest all group members each time, rather than just the changes.
Previewing Group Membership Changes Before Transforming the Data
If you have configured a group member data set to remove group members, you can use the Preview Group Member dialog box to preview the changes that Application Collaboration makes before transforming the data.
You can preview the changes any time after harvesting data into the group member data set table. When you preview the changes, Application Collaboration compares the harvested data to the existing groups and group members. This comparison follows the same rules described above.
The Preview Group Member dialog box displays all the group members that are added and removed, as well as members that have not changed.
[A] These members are deleted from the group during transformation.
[B] These rows have not changed since the previous harvest and transformation.
[C] This member is added to the group during transformation.
The following icons are used to indicate the types of changes:

To preview group membership changes before transforming a data set, do the following:
- Harvest the updated group membership data into the group member data set table.
- Right-click the group member data set (
) and choose Edit.

Choose the Preview button. The Preview Group Members dialog box displays.
- Review the rows of data. When you are finished previewing the data changes, choose OK.
- From the Edit Group Member Data Set dialog box, choose Cancel to close the dialog box without deleting the harvested data.
- To apply the changes you previewed to the InterAction groups, transform the data set. For details, see Transforming the Data Sets.
Changing a data set deletes all the data in the data set table. If you choose OK instead of Cancel to close the Edit Group Member dialog box, Application Collaborations saves the data set as though there were changes and deletes the harvested data.
