The Profiles, Lists and Notes section of the Overview page for a person or company displays contextual information about the contact. This includes the following:
- A list of all profiles that apply to the contact. The user can select a profile to display the related information (usually additional fields) for each profile.
- A list of all working lists the contact is on. The user can select a list to display the list-specific additional fields for each list.
- A list of marketing lists the contact is on. The user can select a list to display the list-specific additional fields for each list.
- If the contact is in the user’s contact list, the user can also see a list of categories that have been applied to the contact.
See the following topics:
Profiles
The Profiles section of the Overview page displays a list of all profiles that apply to the contact. Note that profiles can be configured with security, so the user must have access rights to see the profile for it to appear.
Each profile that applies to a contact appears as a link. The user can select these links to display the information configured for each profile.
The Employment and Education Profiles always appear for people; the Company and Corporate Structure Profiles always appear for companies. The others are dynamic depending on which profiles apply to the contact. Profile criteria depends on the contact types applied to the contact; for example, if a contact has been assigned the Client Personnel and Alumni contact types, both the “Client Personnel” and “Alumni” profiles will be available for the contact.
Profiles Section of the Person/Company Overview Page
[A] The Profiles section is currently selected, so all profiles for this contact that the user has access to see appear as links.
[B] Select a profile from the list to see the related information.
The profile information displayed on the Person or Company Overview page is considered “summary” profile information and includes the key fields for a particular profile. The user can get more details with the “View Full Profiles” link – this displays a page in a new popup window with an expanded profile.
The profile area also includes an “Edit” link for each profile – users with appropriate access rights can use this to edit the profile information.
For a list of profiles provided with InterAction, see Out-of-the-Box Web Profiles.
What Can You Configure for this Section?
You can configure the following:
-
The set of profiles available for contacts, along with the criteria that determines which profiles apply to which contacts and the set of information displayed for each profile (including the out-of-the-box profiles). You can control both the fields displayed in the summary version and full-page versions.
For details about configuring profiles, see Creating and Managing Web Client Profiles.
-
The access rights to the underlying profile data. This controls what users can view and edit. For example, a user who does not have access to the Client Financial Information folder cannot see any additional fields from that folder, even if they are included on a profile the user can see.
For details about profiles and folder security, see Web Client Profiles and Folder Access Rights.
Why Can't a User Edit Additional Fields in the Web Client?
When an additional field cannot be edited, it appears on the edit page in the Web Client with two asterisks (**), like the following:
This typically occurs if the user does not have sufficient access rights to edit the field. It can also occur in certain situations even if the user does appear to have access rights.
Fields Locked by Application Collaboration
InterAction Application Collaboration is a tool for updating InterAction with data from other systems. It can be configured to “lock down” the data that it adds. If this is the case, then the fields cannot be edited and will appear with the asterisks in the Web Client. For details about Application Collaboration, see the Administering InterAction guide.
Editing Company Fields from a Person
A profile for a person contact can display fields from the person’s company. For example, the Client Personnel profile displays fields for the contact’s employer. Editing these fields from the person is not allowed, so the fields will appear as read only.
Folder-Specific Fields that Don’t Yet Apply to the Contact
Most of the profile pages display folder-specific additional fields from the information folders. However, whether or not a profile applies to a contact depends on whether the contact has a particular contact type. For example, the Personnel Profile shown above displays fields defined the Personnel Information folder. A contact will have this profile if it has the Our Personnel contact type (i.e., the contact is linked into the Our Personnel folder). Therefore, it is possible for a contact to display a profile page with folder-specific fields from a folder that does not yet contain the contact.
In this case, a Web Client user must have both edit additional fields and link into access rights to edit the field values. This is because editing the fields will automatically add the contact to the corresponding folder. Users with just edit additional fields access cannot edit the values since they don’t have the necessary access to link the contact into the folder.
This typically is just a temporary state until the next time the Folder Dependency Analyzer runs. For example, suppose a user added the Our Personnel contact type to Lisa Short. Her contact will now have the Personnel Profile. However, she has not yet been added to the Personnel Information folder. Once the Folder Dependency Analyzer runs, Lisa will be added to the Personnel Information folder and the fields will become editable by any Web Client user with edit additional fields access rights.
Working Lists
The Working Lists section of the Overview page displays a list of all working lists the user has access to read that include the contact.
Each working list that applies to a contact appears as a link. The user can select these links to display the list-specific additional fields and notes for the list.

Categories
If the contact displayed on the Overview page is a user contact, a Categories item also appears in the Profiles, Lists, and Notes section. This section displays two types of information:
- Any user categories that have been applied to the contact.
- Values for the four user custom fields for the contact.
The categories and custom fields are entirely up to the end users.
What Can You Configure for this Section?
Since custom fields and categories for user contact lists are under the control of end users, there is nothing to configure for this section.
