Data Change Management defines rules to allow your users to add and remove contacts to contact types and marketing lists, but at the same time let the data stewards for your organization review and approve changes.
When adding and removing contact types, Folder Dependency Analyzer can either follow the submission rules defined for Data Change Management, or override them.
When defining a folder dependency rule that adds or removes a contact type, you can specify whether the rule should follow the Data Change Management rules for that contact type, or override those rules.
For example, note the following rule:
People associated with companies that have the Client contact type are added to the Client Personnel contact type.
Suppose you have configured the Client Personnel contact type to require submissions. This means that if a user adds the type to a contact, that request is not performed right away, but instead sent to a data steward in a Data Change Management ticket.
A folder dependency rule that adds the Client Personnel contact type to contacts can work in one of two ways:
The rule can follow the same change management rules that a user would have to follow. Therefore, adding the Client Personnel contact type would generate a change management submission ticket.
The data steward assigned to review and approve Client Personnel changes will need to approve the ticket before the change actually takes place.
- The rule can override the change management settings. If you set the override to Accept, then the Folder Dependency Analyzer will just add the Client Personnel contact type to the contacts without sending any tickets to Data Change Management.
Setting a Change Management Override for a Folder Dependency Rule
You can select from four options when setting a change management override for a folder dependency rule:
| Option | What it Means |
|---|---|
| None | The rule will not override the change management settings for the contact types involved. If the rule adds or removes a type for a contact, the change will be subject to the related change management rules. |
| Submit | The folder dependency rule will submit any contact type adds/removes to Data Change Management, regardless of the rules defined for the contact types involved. |
| Review | The folder dependency rule will send review tickets for any contact type adds/removes to Data Change Management, regardless of the rules defined for the contact types involved. |
| Accept | The folder dependency rule will bypass any Data Change Management rules defined for the contact types involved. |
Typically, you use the Accept override option so that the folder dependency analyzer rule can bypass any change management rules when applying or removing contact types.
For example, the Our Personnel contact type is configured out of the box to require submissions when users add the type to contacts. While it is useful to have data stewards review and approve users’ actions in this way, it would likely be a burden for them to also review and approve a large number of “requests” made by the Folder Dependency Analyzer.
To avoid this, you would configure any folder dependency rule that applies the Our Personnel contact type with the Accept change management override option.
