Use the following procedures to assign access rights to folders. These procedures require the Windows Client. Note that you can assign access rights for working lists in the Web Client; for details, see Web Client Security for Working Lists.

Assign Access Rights to a Person, Group, or All Users
You must have Folder Administration access rights to a folder to assign access rights for the folder.
- Log in to InterAction Windows Client and select the folder.
- Choose Folder > Edit Folder to open the Edit Folder dialog box.
- Choose the Security view.

Choose New. InterAction displays the New Access Rights dialog box.

Under Access By, select whether you want to assign access rights to a Specific User, Members of a Group, or All Users.
If you choose... Then you also need to ... Specific User Either enter the user’s account name or choose the Lookup button ( ) to search for the user by last name.
Members of the Group Select the group from the drop-down list.
You can see a list of users in the group by choosing the Members button.
All Users Do nothing. - Select the appropriate check boxes for the Folder and Contact Data access rights. For details about these rights, see Access Rights for Folders.

If you want to assign Advanced Folder Management, Advanced Contact, or Folder Administration access rights, choose Advanced to display the Advanced Access Rights Options dialog box.
Item Description Advanced contact data access rights Sub-divides the access rights for adding and editing contact data. For example, you can set rights for phones separately from additional fields. Advanced folder management access rights Sub-divides the access rights for folder management tasks such as editing additional field definitions and setting/clearing flags. Folder Administration rights Grants complete access to the folder, including the ability to edit access rights for other users. Select the appropriate check boxes and choose OK to accept the advanced options and close the Advanced Access Right Options dialog box.
- Choose OK to accept the options and close the New Access Rights dialog box.
- Choose Close to close the Edit Folder dialog box.
Edit Access Rights for an Accessor
You must have Folder Administration access rights to a folder to edit access rights for the folder.
- Log in to InterAction Windows Client and select the folder.
- Choose Folder > Edit Folder to open the Edit Folder dialog box.
- Choose the Security view.
- Select the accessor in the Access Rights list and choose Edit. InterAction displays the Edit Access Rights dialog box.
- Select and/or de-select check boxes to change the access rights. Choose Advanced to edit Advanced Contact, Advanced Folder Management, or Folder Administration access rights.
- Choose OK when finished editing access rights.
- Choose Close to close the Edit Folder dialog box.
Delete Access Rights for an Accessor
You must have Folder Administration access rights to a folder to delete access rights for the folder.
- Log in to InterAction Windows Client and select the folder.
- Open the folder.
- Choose Folder > Edit Folder to open the Edit Folder dialog box.
- Choose the Security view.
- Select the accessor in the Access Rights list and choose Delete.
- Choose Yes to confirm that you want to delete the access rights for the accessor.
- Choose Close to close the Edit Folder dialog box.
Change a Folder's Owner
- Log in to InterAction Windows Client.
- Open the folder.
- Choose Folder > Edit Folder to open the Edit Folder dialog box.
- Choose the Security view.

Choose Folder Owner to open the Edit Ownership dialog box.
- Enter the New Owner or choose the Lookup button to search for a user.
- Choose OK.
Automatically Assigning Access Rights
Assigning certain access rights automatically grants other access rights. For example, since a user can’t really delete a contact without deleting all the contact’s data, any user with delete contact rights also has access to delete contact data.

It is possible for a user to have overlapping access rights to a folder. For example, you can grant one set of access rights to a specific user and then grant a different set of access rights to a group of which the user is a member. The following rules describe which access rights take precedence:
• Rights assigned to a specific user take precedence over rights assigned to a group, even if the user is a member of the group.
• Rights assigned to a group take precedence over rights granted to all users.
• Rights assigned to groups are cumulative. For instance, if the same user is a member of three different groups and each group has certain rights to a folder, the user will have the rights specified for all three groups.
The following are two examples of how access rights precedence works:
• You assign Read Only access rights to all users and No Access access rights to the specific user EMROBERTS. This set of access rights means that all users except EMROBERTS can read the folder.
• You assign Read Only access rights to all users and Read and Edit access rights to the specific user EMROBERTS. This set of access rights means that all users can read the folder and EMROBERTS can also edit contacts in the folder.
