You can import data into the following InterAction fields:
- Name
- Addresses, Phones and Electronic Addresses
- Notes
- Additional Fields
- Folder Links
- Classifications
Using Application Collaboration, you can import information into other fields including activities and relationships.
When you import data into InterAction, you map it to an InterAction field. InterAction organizes these fields into field groups. A field group is a collection of similar fields. For example, a Phone field group consists of the Number, Extension, and Description fields. The figure below shows how InterAction displays fields and field groups in the Map Import Fields dialog box, which you use to map fields (see Create Mapping Instructions for how to access this dialog box).
[A] Field Group
[B] Fields
When you create new mapping instructions, InterAction initially provides some field groups into which you can import. InterAction, however, lets you import into an unlimited number of addresses, phones, electronic addresses, additional fields, and classifications. To add to more field groups than InterAction initially provides, you must create new field groups. For more information, see Import Mapping Tips and Tricks.
The following table provides information about the different types of field groups:
Field Groups
| Type of Field Group | Fields Available | Initial Field Groups Provided | Notes |
|---|---|---|---|
| Name |
Title First Middle Last Suffix Goes By Job Title Company (Also Known As) Company Name Department Assistant |
Name You cannot edit or delete the Name field group, and you cannot create a new Name field group. Each contact can only have one name. |
Each set of mapping instructions must be able to create a contact. This means that the instructions must contain at least one mapped field to the Last, Company (Also Known As), or Company Name fields. If the Last Name field is mapped and a value has been mapped into the field, InterAction creates a person. If the Last Name field is not mapped or blank and one of the company name fields contains a value, InterAction creates a company. |
