The security for reminders is simple and straightforward. By default, users do not have reminders enabled and cannot see any aspect of the Reminder feature until you enable reminders for them.
Access to Work with Reminders
Once you enable reminders for users in InterAction Administrator, users can create, view, edit, and delete reminders for themselves. See “Enable Reminder Feature” in Managing Reminder Users for more information.
Proxy Access to Reminders
If users and their proxies both have reminders enabled, proxies have the same access rights as the user they are proxying for in regard to reminders. Proxy support for reminders is only available from the Web Client and the PIM Clients - there is no proxy support for reminders from the Windows Client.
Client Team Manager Access to Reminders
A Client Team Manager manages client teams or groups of professionals dedicated to building relationships with and getting more business from specific clients. Client Team Managers are typically more interested in ensuring your organization has a strong relationship with a set of clients than with making sure individual professionals are growing their numbers.
Once members of client teams have reminders enabled, Client Team Managers can assign and manage reminders for them. For details on how to enable this option for users, see “Enable the Option to Set Reminders for Other Users” in Managing Reminder Users.
Client Team Managers are not proxies and are not afforded the same rights as proxies. The permission to set reminders for other users is assigned to specific individual users – they do not have to all be in the same group. Once the option is enabled, Client Team Managers can create reminders for all users, not just users in their team.
End User Effect
Allowing Client Team Managers the option to set reminders for other users has these effects on end users:
- End user can edit and delete reminders set up on their behalf by Client Team Managers.
-
Reminders set up by Client Team Managers look identical to the ones users set up for themselves.
Users with this permission are afforded the access identified in the following sections.
View Access - Seeing Other Users' Reminders
Client Team Managers have these view access rights in the Windows Client or the Web Client, but not PIMs:
- Only reminders that were set up by Client Team Managers on contacts in the firm list
- Cannot see reminders that were set up by the user or the user’s proxy
Create Access - Setting Up Reminders
Client Team Managers can only create reminders for firm contacts on the user’s behalf from the Windows Client or the Web Client, but not PIMs.
Edit and Delete Access - Managing Reminders for Users
Client Team Managers have these edit and delete access rights:
- Can only modify reminders created by Client Team Managers
- Cannot view, edit, or delete a reminder created by the end user (or the end user’s proxy) for themselves
Reviewing Coverage
Through the Windows Client, Client Team Managers can determine:
- Which users are being reminded about a specific contact
- Which contacts a specific user is being reminded about
Through the Web Client, Client Team Managers can:
- View reminders for other users through a link on the home page
