InterAction allows you to configure its behavior when opening large folders and finding a large number of folders during a folder search.
These options only affect Windows Client, since Web Client users do not work directly with folders.
Configuring the Letter Bar for Large Folders
When a user opens a folder configured as a large folder, only a subset of contacts are displayed. The user can change the set of contacts displayed by choosing the buttons in the letter bar.
You can choose how InterAction should behave when a user opens a large folder. There are two options:
- InterAction can automatically select the first letter range (a-b).
-
InterAction can initially display no contacts. The user must manually choose the range of contacts to display.
This can save time, as the user does not need to wait for the initial subset of contacts to load before choosing a different subset.
If you set InterAction to display no contacts in this situation, InterAction displays the message shown below when opening a folder configured as a large folder. The status bar for the folder also displays text instructing the user to select a range from the letter bar to display the contacts.
Message Displayed When Opening a Large Folder
To configure the letter bar default, follow these steps:
-
On the main windows of InterAction Administrator, double-click Configuration.
This setting only applies to folders configured as large folders. This setting is not related to how many contacts are actually stored in the folder. You can set the large folder option when creating or editing the folder.
- Select the Display Thresholds tab.
- Select or clear the Default selection of Letter Bar to none for large folders.
- Select the check box if you want no contacts to be displayed when a user opens a large folder. This option saves time when opening the folder, but the user must then choose a button from the letter bar to view the contacts.
- Clear the check box if you want InterAction to display contacts when the user opens a large folder. In this case, InterAction displays contacts within the range a-b when opening the folder.
- Choose OK.
Finding a Large Number of Folders
The Folder Search/Open threshold allows you to set up InterAction to warn the user if a large number of folders match the criteria when searching for a folder in the Windows Client.
InterAction displays the Find Folder dialog box whenever a user in the Windows Client needs to find a folder - for instance, when selecting which folders to use in a custom search. This dialog box allows a user to enter criteria to narrow the list of folders returned.
If a large number of folders match the criteria specified in this dialog box, loading the Search Results list may take a long time. Also, the user must hunt through a very long list to find the folder to select.
Furthermore, if a user chooses the Search button without entering any criteria, the Search Results list includes all the folders on the database (unless the dialog box is configured to hide folders the user is not permitted to read), so this list can easily be very long.
The folder search display threshold allows you to set a threshold for this search results list. If the number of folders that match the criteria is greater than or equal to this threshold, InterAction displays a message encouraging the user to return to the dialog box and enter more specific criteria to narrow the search.
The threshold only affects the Find Folder dialog box; it does not have any impact on the folder list in the main InterAction window.
This feature is especially useful if you have a large number of folders for which most Windows Client users have at least read access rights.
To set the folder search display threshold, follow these steps:
- On the main window of InterAction Administrator, double-click Configuration in the entity list to open the InterAction Configuration dialog box.
- Select the Display Thresholds tab.
-
In the Folder Search/Open field, enter the folder search display threshold.
If the number of folders returned by a folder search is greater than or equal to this threshold, InterAction displays a dialog box allowing the user to specify more criteria to narrow the search.
- Choose OK.
