Configure the New User Contact List Synchronization Defaults
You should not enable synchronization between your organization’s PIM and the user contact list until you are certain that the user’s contacts have been loaded into the PIM.
-
Log on to InterAction Administrator.
-
From the main window entity list, double click User Contact List Configuration.
-
On the User Contact List Configuration dialog box, choose Synchronization Settings.
-
On the Synchronization Settings dialog box, choose the PIM with which user contact lists will be synchronized.
-
If you wish to have synchronization enabled when user contact lists are created, select the option to enable User to Firm Contact Sync and synchronization with your organization’s PIM. This is not recommended.
-
When finished, choose OK.
Turning Synchronization On and Off for User Contact Lists
You can enable or disable User to Firm Contact Sync for each individual user contact list. This provides many benefits including the following:
- When first implementing the system, you can gradually begin synchronizing user contact lists with the firm list by turning synchronization on for smaller groups of users.
- You can perform any necessary troubleshooting or maintenance on one user’s contact list without having to stop the synchronization process for all user contact lists.
User to Firm Sync is automatically disabled for inactive users.
When you enable User to Firm Contact Sync for a user contact list, that list is synchronized with the firm list any time a process runs User to Firm Contact Sync.
Enable User to Firm Contact Sync for User Contact Lists
- Log on to InterAction Administrator.
-
From the main window entity list, double-click User Contact List.
-
On the Manage User Contact List dialog box, mark the user contact list or lists for which you want to enable User to Firm Contact Sync.
Choose Filter to reduce the number of users shown based on group or status (Active or Inactive).
-
Under Apply Setting to Marked Lists, select Enable Sync with Firm List and choose Apply.
Only the user contact lists that are marked will have the selected setting applied. If the currently selected contact list is not marked, it will not be included in the setting.
-
When finished, choose Close.
You can also enable or disable synchronization and Smart Connect for each user contact list from the Edit User Contact List dialog box.
Disable User to Firm Contact Sync for User Contact Lists
- Log on to InterAction Administrator.
-
From the main window entity list, double-click User Contact List.
-
On the Manage User Contact List dialog box, mark the user contact list or lists for which you want to disable User to Firm Contact Sync.
Choose Filter to reduce the number of users shown to one group or users.
Only the user contact lists that are marked have the selected setting applied. If the currently selected contact list is not marked, it is not included in the setting.
-
Under Apply Setting to Marked Lists, select Disable Sync with Firm List and choose Apply.
-
When finished, choose Close.
What's the Difference between Disabling Sync for Users Vs. Disabling the Sync Process?
Disabling the sync process stops the synchronization from running. This means that no user contact lists are synchronized, the process does not run, no log entries are created, among other things. Typically, you should only disable the process when you are performing maintenance or recovery efforts and want to stop all activity on a server or process manager workstation.
If you disable synchronization for a user contact list, it does not prevent the scheduled process from running, it just stops the sync process from reviewing and making any changes to the user’s contact list. Typically, you should disable sync for a user’s contact list if you are troubleshooting an issue for just one user or when a user leaves your organization.
Clearing User Contact Collection Locks
If a synchronization process running on a user contact collection encounters errors, the collection can become locked. When a user contact collection is locked, the name of the process that locked the collection displays in the Locked By column in the Manage User Contact List dialog box.
You may have to scroll to the far right of the dialog box to see the Locked By column.
In this scenario, the contact collection is released by an automated process within 24 and 36 hours. However, you can release the collection earlier by manually clearing the lock in InterAction Administrator.
To manually clear the lock on a contact collection:
- Log on to InterAction Administrator.
- From the main window entity list, double-click User Contact List.
-
On the Manage User Contact List dialog box, mark the user contact list or lists for which you want to clear locks.
Only the user contact lists that are marked have the selected setting applied. If the currently selected contact list is not marked, it is not included in the setting.
-
Under Apply Setting to Marked Lists, choose Clear Collection Lock and choose Apply.
-
When finished, choose Close.
