The list of InterAction Administrator users controls which users are authorized to use the InterAction Administrator software to administer the system. The System Administrator User account, described in Maintaining the System Administrator User Account, is always an InterAction Administrator user.
An InterAction Administrator user is any normal user account that is added to the list of authorized users for the Administrator software. You can have as many InterAction Administrator users as you need; however, it is a good idea to limit access since a user with full access can change system-wide information and user accounts. You can limit the permissions for any Administrator user so they can only access the permissions needed for the role.
You can add any existing InterAction user to the list of InterAction Administrator users. See Creating and Editing Users Manually for information about creating a new InterAction user.
Adding a user to the list of InterAction Administrator users does not grant access to any folders — full access lets the user use InterAction Administrator to change system-wide data and configurations. You can also grant partial access to an InterAction Administrator user.
The first time you start InterAction Administrator after installation, you do not need to provide an account name or password. After creating the database, only InterAction Administrator users can run InterAction Administrator. Therefore, you should add yourself and any other technical individuals who need access to InterAction Administrator to this list after creating the database.
Reasons for Assigning Partial InterAction Administrator Permissions
Limit access to many Interaction Administrator functions to a small number of users. For example, the items on the InterAction Administrator menu are generally limited to IT personnel. InterAction Administrator functions can easily be allocated to other users by assigning partial permissions, such as:
- Assign limited permissions to users so they can add, edit, and inactivate users as well as restrict the synchronizing of user contact lists so users can be responsive to employment changes within the organization.
- Assign Folder Dependency permissions to users who regularly manage subsets of data from existing folders by creating or deleting folder dependencies and changing the individual components of folder dependency rules.
- Add a Marketing user to the list of InterAction Administrator users, assigning permissions only to manage activity types and relationship types, while restricting them from all other administrative functions.
