Administrative folders are special folders that work “behind the scenes.” They are never shown in the Web Client as “lists,” although information from them does appear in the Web Client. The source folders for firm contacts (Firm Contacts - People and Firm Contacts - Companies) are classified as administrative folders.
Administrative folders fall into five out-of-the-box types:
- Archive is for temporarily storing folders that need to be deleted. For details, see Removing Folders from InterAction.
- Data Management folders are special folders used as part of the Initial Data Load and Cleansing process and for ongoing data maintenance. For details, see the Loading Data into InterAction guide.
- Information folders are used to store data used on Web Client profiles. This is the type of administrative folder you typically create when configuring InterAction. For details, see Information Folders.
- Public folders are the main source folders for firm contacts. For details, see Sourcing Firm Contacts.
- Other Administrative is available for any folders that don’t fit one of the other types.
The most frequently used administrative folders are the information folders. Information folders usually have folder-specific additional fields and notes that are displayed on Web Client profiles. For example, the Client profile shown below displays fields from the Client Information and the Client Financial Information folders.
Client Profile Displays Data from an Information Folder
[A] This is the Additional Information view in the Windows Client. It displays all of the folder-specific additional fields for all folders that contain the contact.
[B] This is the Client profile in the Web Client. Note that the data is from different folders.
The information folders are used to support shared profile data and protect sensitive information (see What is the Purpose of the Information Folders?). Note that they are not required for Web Client profiles – you can store folder-specific additional fields directly on contact types if they don’t need extra security or to be shared between multiple types.
You can change the term used for “administrative folders” throughout InterAction. Since these folders never appear in the Web Client, this only affects the Windows Client. For details, see Change Terms Used for Contact Types, Working Lists, Marketing Lists.
